Financial services company targets lower costs, better customer service with online document management system

Englewood Cliffs, NJ  August 28, 2003  Northport Partnership Management, an outsourcing company that provides accounting, tax, treasury, investor and Web-based solutions to alternative investment companies, has implemented a Web-hosted document management system (DMS) in a bid to cut costs and improve customer service by replacing file cabinets and paper documents with a virtual filing system.

In providing service to its clients, Northport manages a high volume of paper and electronic documents. "We wanted to replace the manual handling of paper documents with more efficient technology in an effort to provide our suite of services to clients as effectively as possible," explained Jim Farese, president of Northport.

Northport elected to implement a Web-based DMS from Immediatech. With Immediatech's GoFileRoom, documents are scanned into the system or imported electronically where they can be accessed immediately by Northport staff through a secure login.

In response to requests for information, documents can be located and e-mailed to a client in a matter of seconds, compared with the much longer time required to go to a file room, find the document and fax it.

A significant influence in Northport's decision to select GoFileRoom was document protection, according to Farese. GoFileRoom is hosted from a secure off-site data center that ensures the availability, backup and recovery not possible with an in-house system. CD copies can also be made of all files and documents for further protection.

"It is critical that we protect our documents in the event of a disaster," said Farese. "With GoFileRoom, even if there is a fire at our offices, the system will remain up and running from its off-site location."

Farese added that Northrop also liked the quick implementation and scalability of the Web-based GoFileRoom. "In addition, utilizing GoFileRoom was more productive than increasing our IT staff to maintain and upgrade the hardware and software of an in-house system," Farese concluded.
